Project Assistant
We are looking for a highly organized and detail-oriented Project Assistant to join our team in Vancouver, British Columbia. In this long-term contract role, you will play a key part in leading the digitization and organization of both physical and electronic documents. This position offers a hybrid work arrangement, with the flexibility to work from home one day per week.<br><br>Responsibilities:<br>• Oversee the digitization and organization of physical and electronic documents, ensuring all files are properly scanned, sorted, and uploaded.<br>• Maintain and update contract and document metadata in a new database, ensuring accuracy and consistency.<br>• Organize and clean up shared network drives and improve the overall structure for easier accessibility.<br>• Conduct detailed mapping exercises to inventory and catalog contracts for searchability and completeness.<br>• Collaborate with IT, legal, and other internal teams to streamline document management processes.<br>• Identify and execute the appropriate actions for physical documents, such as archiving, shredding, or digitizing.<br>• Utilize SharePoint and other document management tools to implement efficient storage and retrieval systems.<br>• Proactively address challenges in document organization and suggest process improvements.<br>• Communicate effectively with stakeholders to ensure project timelines and deliverables are met.
• Proven experience in managing large-scale digitization and document organization projects.<br>• Proficiency in using SharePoint and the Microsoft Office Suite, particularly Excel.<br>• Strong problem-solving skills and a proactive approach to managing tasks and challenges.<br>• Demonstrated expertise in scanning, sorting, and uploading both physical and digital documents.<br>• Excellent communication skills with the ability to collaborate effectively across teams.<br>• Familiarity with electronic document management systems and metadata population.<br>• General IT proficiency and a willingness to drive improvements in processes and systems.<br>• Experience in R& D, academic, or government-funded settings is considered an asset.
