Executive Assistant
We are looking for a highly skilled Executive Assistant to join our team on a long-term contract basis in Toronto, Ontario. In this role, you will provide comprehensive administrative support to senior leadership, ensuring seamless operations across various functions. This position offers an exciting opportunity to contribute to the success of a healthcare organization by managing schedules, communications, and essential administrative tasks.<br><br>Responsibilities:<br>• Oversee and manage complex calendars, appointments, and travel arrangements for senior executives, ensuring optimal time management and prioritization.<br>• Act as a liaison between the executive office and internal/external stakeholders, fostering positive relationships and coordinating communications.<br>• Draft, edit, and distribute correspondence, presentations, and other documents with attention to accuracy and timeliness.<br>• Organize and maintain digital file systems, ensuring records are up-to-date and accessible to the team.<br>• Coordinate logistics for meetings and conferences, including scheduling, expense reporting, and preparation of meeting materials.<br>• Research and address issues or concerns directed to senior leadership, providing recommendations or follow-up actions as needed.<br>• Manage incoming and outgoing communications, redirecting inquiries to the appropriate departments or individuals.<br>• Support Board activities by organizing meetings, preparing agendas, recording minutes, and maintaining governance documentation.<br>• Assist board members with travel arrangements and other logistical needs as required.<br>• Collaborate with senior management to prepare strategic and operational documents, proofread materials, and schedule key meetings.
• Proficiency in ADP Financial Services, Cisco Webex Meetings, and Concur systems.<br>• Hands-on experience with CRM systems and Kronos Timekeeping software.<br>• Demonstrated expertise in managing executive-level calendars, travel arrangements, and expense reporting.<br>• Strong ability to draft and edit detail-oriented documents, presentations, and correspondence.<br>• Familiarity with C-Suite operations and board governance processes.<br>• Skilled in organizing and maintaining both digital and physical records.<br>• Proven ability to use tools such as Diligent Boards for board communication and document management.<br>• Excellent organizational and communication skills with a focus on attention to detail.
