Executive Assistant
We are looking for an organized and resourceful Executive Assistant to join our team on a Contract basis in Mississauga, Ontario. This position supports senior leadership while also overseeing key human resources and governance activities, making it well suited to someone who can balance confidential administrative work with people-focused coordination. The successful candidate will bring strong judgement, clear communication, and the ability to manage competing priorities in a fast-paced environment.<br><br>Responsibilities:<br>• Lead day-to-day human resources administration, including maintaining policies, procedures, employee records, and compliance-related documentation.<br>• Coordinate recruitment activities by identifying hiring needs, posting opportunities, supporting interview planning, and assisting leaders through the selection process.<br>• Oversee onboarding and employee support activities, including orientation, required training, vacation tracking, accommodation matters, and workplace concerns.<br>• Administer employee-related programs such as total rewards, contract documentation, staff access credentials, and parking arrangements in collaboration with internal partners.<br>• Support senior management with calendar oversight, meeting coordination, agenda preparation, correspondence, presentations, and follow-up on key actions.<br>• Attend meetings as needed to document discussions, prepare minutes, and help ensure items are communicated and completed effectively.<br>• Organize leadership sessions and internal events, including retreats, training initiatives, and orientation activities.<br>• Act as a liaison for board administration by coordinating meetings, preparing governance packages, maintaining current governance records, and handling sensitive information with discretion.<br>• Respond to inquiries from internal and external stakeholders and address escalated administrative or employee-related matters in a careful and effective manner.
• Minimum of 3 years of relevant experience in executive support, human resources administration, or a similar office leadership role.<br>• Strong background in calendar management, meeting coordination, documentation, and executive-level administrative support.<br>• Excellent written and verbal communication skills, with the ability to prepare detailed reports, announcements, presentations, and other materials.<br>• Demonstrated ability to manage confidential information with sound judgement, discretion, and a high level of accuracy.<br>• Well-developed organizational skills with the ability to prioritize multiple deadlines and maintain attention to detail.<br>• Valid driver&#39;s licence and reliable access to a vehicle.<br>• Experience in healthcare or medical office environments is preferred, and familiarity with healthcare systems such as Accuro would be considered an asset.<br>• Relevant HR certification would be considered an asset.
