Front Desk Administrator
<p>We are looking for a highly organized and detail-oriented Front Desk Administrator to join our clients team on a contract basis. This position is based in Surrey, British Columbia, and involves assisting with various administrative and reception-related tasks to ensure smooth daily operations. As the first point of contact for visitors and callers, you will play a key role in maintaining a welcoming and efficient office environment.</p><p><br></p><p>Responsibilities:</p><p>• Answer and direct incoming calls using a multi-line phone system, ensuring prompt and courteous communication.</p><p>• Receive and distribute incoming mail and shipments to the appropriate departments.</p><p>• Maintain and organize office records, including filing, photocopying, and scanning documents.</p><p>• Provide support for inventory management, including conducting regular counts and ensuring supplies are properly stocked.</p><p>• Assist with mail outs and preparation of materials for distribution.</p><p>• Greet and assist visitors while maintaining a detail-oriented and friendly demeanor.</p><p>• Handle sensitive situations calmly and with care, including interactions with dissatisfied individuals.</p><p>• Coordinate with various departments to ensure timely and accurate delivery of information or materials.</p><p>• Utilize software tools such as Microsoft Word, Excel, and Outlook to complete administrative tasks.</p><p>• Maintain a clean and organized front desk area, ensuring it reflects the high standards of the organization.</p>
• Proven experience in administrative or receptionist roles, preferably in a non-profit or similar environment.<br>• Proficiency in using Microsoft Office Suite, including Word, Excel, and Outlook.<br>• Strong communication skills with the ability to answer and direct calls effectively.<br>• Exceptional organizational skills with the ability to manage and prioritize multiple tasks.<br>• Experience with mail handling, shipping, and inventory management.<br>• Ability to work calmly in challenging situations and provide excellent customer service.<br>• Familiarity with operating multi-line phone systems.<br>• Attention to detail and a commitment to maintaining accurate records.
