Payroll Specialist job description

A Payroll Specialist processes employee compensation accurately and on time while ensuring compliance with Canadian payroll legislation, tax requirements and organizational policies. They manage payroll data, maintain payroll systems, support record-keeping, prepare reports, resolve discrepancies, and contribute to process improvements that enhance accuracy and efficiency.

Working closely with human resources, finance, benefits and operations teams, Payroll Specialists help ensure reliable payroll operations and a positive employee experience.

Typical payroll specialist duties:

Process payroll accurately and on schedule, including weekly, biweekly, semi-monthly and monthly payroll cycles.

Review and validate payroll information, including hours worked, earnings, deductions, bonuses, commissions, benefits, employee status changes and other compensation-related updates.

Maintain accurate payroll records and ensure compliance with applicable federal and provincial payroll legislation, tax requirements and organizational policies.

Process payroll adjustments, corrections and employee updates while maintaining confidentiality and accuracy of payroll information.

Respond to employee payroll inquiries and resolve discrepancies related to compensation, deductions, timekeeping and payroll records.

Reconcile payroll reports, payroll-related accounts and supporting documentation to ensure accuracy and completeness.

Support payroll remittances, reporting requirements, year-end processing and audit activities.

Maintain payroll systems and employee data while assisting with system updates, process improvements and payroll technology enhancements.

Collaborate with Human Resources and Finance teams to support employee lifecycle activities, including onboarding, changes and departures.

Identify opportunities to improve payroll processes, increase automation, enhance reporting accuracy and strengthen operational efficiency.
