Office Assistant
<p>Our client is a European organization active in legal matters, located in the city center of Brussels. They are seeking a motivated and detail-oriented candidate to assist with critical administrative tasks as part of a short-term mission.</p><p>We are looking for a bilingual (French and English-speaking) candidate to support the client with a wide range of administrative duties. This role offers the opportunity to work in a dynamic European organization and contribute to vital operational processes.</p><p><strong>Key Responsibilities for this position of Office Assistant (m/f/x) :</strong></p><ul><li><strong>Website Management:</strong> Regularly update the client's website with the latest information and documents.</li><li><strong>Contact Management:</strong> Update and maintain contact lists; delegate contact updates to specific representatives.</li><li><strong>Schedule Coordination:</strong> Keep diaries and calendars up to date to ensure smooth planning and scheduling.</li><li><strong>Correspondence:</strong> Respond professionally to letters, invitations, and inquiries as directed.</li><li><strong>Office Finance Administration:</strong> Process MasterCard statements and maintain accurate expenditure records.</li><li><strong>Procurement:</strong> Supervise office facility orders and supplies to ensure operational efficiency.</li><li><strong>Meeting Room Preparation:</strong> Clear the large meeting room ahead of upcoming basic renovations and liaise with vendors.</li><li><strong>Equipment Coordination:</strong> Follow up with companies for new equipment required for the renovated meeting room.</li><li><strong>Archiving and Inventory:</strong> Monitor archive spaces and review older equipment for retention or removal.</li></ul><p><strong>Candidate Requirements for this position of Office Assistant (m/f/x):</strong></p><ul><li><strong>Languages:</strong> Fluency in <strong>French</strong> and <strong>English</strong> (spoken and written) is mandatory.</li><li><strong>Experience:</strong> Previous experience in office administrative roles is preferred.</li><li><strong>Skills:</strong> Strong attention to detail, organization, and multitasking abilities.</li><li><strong>Technical Proficiency:</strong> Familiarity with standard office IT tools (MS Office, SharePoint, etc.).</li><li><strong>Availability:</strong> Must be available <strong>Monday through Thursday</strong> during the contract period (October to early December).</li></ul><p><strong>Offer Details:</strong></p><ul><li><strong>Work Schedule:</strong> 4 days per week (Monday to Thursday).</li><li><strong>Salary</strong>: Up to 3,500 EUR gross monthly based on experience.</li><li><strong>Lunch Vouchers</strong>: 8 EUR per day.</li><li><strong>Eco-Vouchers.</strong></li><li><strong>Transport Costs</strong>: 100% refund for public transport expenses.</li><li><strong>Flexible Working Hours.</strong></li></ul><p>Interesting in this position?
