Administrative Assistant
We are looking for a dedicated Administrative Assistant to join our team on a contract-to-permanent basis in Waltham, Massachusetts. This role requires someone who is detail-oriented, organized, and capable of managing multiple tasks efficiently. The ideal candidate will play a key role in ensuring smooth day-to-day office operations while contributing to a detail-oriented and welcoming but fast-paced environment. <br> Responsibilities: • Provide comprehensive administrative support to ensure smooth office operations. • Manage inventory and coordinate the procurement of office supplies as needed. • Arrange and prepare the office space for client meetings, including ordering catering services. • Ensure video conferencing equipment is set up and functioning properly for meetings. • Answer incoming calls and handle inquiries or direct them to appropriate personnel in a courteous manner. • Perform accurate data entry tasks to maintain organized records. • Undertake receptionist duties, creating a welcoming atmosphere for clients and visitors. • Collaborate with team members to support various administrative projects and initiatives. • Assist in maintaining an orderly and efficient workspace. • Address ad hoc administrative needs as they arise. • Handling multiple calendars for executive leaders with different time zones so need to adapt and multi-task
• Proven experience as an Administrative Assistant or in a similar role. • Strong organizational and time management skills. • Proficiency in handling inbound calls and providing receptionist services. • Familiarity with data entry and maintaining accurate records. • Ability to manage inventory and order office supplies effectively. • Excellent communication skills and a detail-oriented approach. • Ability to work collaboratively as part of a team. • Previous Senior Level Admin Assistant or Executive Assistant experience is a plus
