Office Assistant
We are seeking a skilled Office Assistant to provide administrative support for a one-week contract position in Santa Monica, California. This role involves a variety of tasks, including managing schedules, organizing files, and assisting with financial processes. The ideal candidate will bring strong organizational abilities and attention to detail to ensure smooth operations during this short-term assignment.<br><br>Responsibilities:<br>• Coordinate and maintain calendars, ensuring all meetings and appointments are scheduled accurately.<br>• Handle incoming calls professionally, addressing inquiries and routing them to the appropriate departments.<br>• Organize and update departmental files to ensure easy access to information.<br>• Process invoices, contracts, and payments with accuracy and attention to detail.<br>• Perform data entry tasks to maintain up-to-date records.<br>• Support general office operations by completing clerical duties such as filing and correspondence.<br>• Assist with administrative tasks related to financial systems and software.<br>• Ensure sensitive information is handled with discretion and confidentiality.<br>• Collaborate with team members to address any additional administrative needs.
• Minimum of 2 years of experience in an administrative or office assistant role.<br>• Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.<br>• Familiarity with accounting software systems and CRM platforms.<br>• Strong organizational skills and ability to multitask effectively.<br>• Excellent communication skills, both written and verbal.<br>• High level of attention to detail and accuracy in completing tasks.<br>• Ability to handle sensitive information with discretion and professionalism.<br>• Experience with answering inbound calls and managing billing functions.
