Administrative Assistant
<p>We are looking for a detail-oriented Administrative Assistant to join our team in Memphis, Tennessee. This is a contract position that offers the opportunity to support the operations of multiple departments while contributing to the organization’s overall efficiency. The ideal candidate will possess strong organizational skills and a proactive approach to handling administrative tasks.</p><p><br></p><p>Responsibilities:</p><p>• Provide comprehensive administrative support across three departments.</p><p>• Maintain and organize departmental records and filing systems, ensuring easy access to important documents and information.</p><p>• Monitor inventory levels, purchase office supplies, and maintain an organized workspace to meet departmental needs.</p><p>• Coordinate and schedule meetings, events, and room reservations, ensuring seamless planning and execution.</p><p>• Assist the Director with application processes, orientation, and recruitment activities.</p><p>• Process invoices and maintain accurate records for departmental and program-related transactions.</p><p>• Serve as a communication liaison by disseminating important information, publishing schedules, and updating the department’s web content.</p><p>• Operate and maintain office equipment, including computers and copiers, while utilizing relevant software to support departmental functions.</p><p>• Ensure consistent attendance to effectively perform essential job duties and contribute to the team’s success.</p>
• Proven experience in administrative support roles, preferably within multi-departmental settings.<br>• Proficiency in handling financial transactions, including budgets, invoices, and expense reports.<br>• Strong organizational skills with the ability to establish and maintain efficient filing systems.<br>• Excellent communication skills to disseminate information accurately and professionally.<br>• Familiarity with managing office supplies and maintaining inventory levels.<br>• Ability to supervise and train student workers, ensuring productivity and quality standards.<br>• Proficiency in scheduling meetings, coordinating events, and managing room reservations.<br>• Competence in using office equipment and software, including data entry and document preparation.
