Receptionist/Office Coordinator
<p>A real estate investment firm in Westwood is hiring a Receptionist/Office Assistant on a contract-to-hire basis. They are looking for a proactive candidate to manage the front desk and provide support to the office. The ideal candidate will be detail-oriented, personable, and adaptable, excelling at balancing administrative responsibilities office duties.</p><p><br></p><p>Responsibilities:</p><p>• Oversee daily office operations, including scheduling meetings and coordinating with various departments.</p><p>• Organize and manage lunch orders and deliveries for staff when required.</p><p>• Handle office supply inventory, ensuring timely purchases and maintaining stock levels.</p><p>• Maintain the cleanliness and organization of the office space, including restocking supplies.</p><p>• Facilitate onboarding processes, such as arranging parking for new hires.</p><p>• Provide calendar management and meeting scheduling support across teams.</p><p>• Set up and troubleshoot Zoom and Teams meetings in conference rooms to ensure seamless virtual connections.</p><p>• Manage incoming packages, sort mail, and distribute hand-delivered checks at the front desk.</p><p>• Assist with administrative tasks to support interdepartmental workflows and ensure operational efficiency.</p>
• Previous experience in receptionist, administrative, or executive assistant roles, preferably in dynamic, detail-oriented settings.<br>• Excellent organizational and time management abilities.<br>• Strong written and verbal communication skills.<br>• Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.<br>• Detail-oriented and discreet demeanor when handling sensitive information.<br>• Notary certification or willingness to obtain one (costs covered by the company).<br>• Bachelor’s degree preferred but not mandatory.
