Executive Assistant
<p>We are looking for an Executive Assistant to join a dynamic investment firm in West Los Angeles. In this role, you will provide comprehensive support to the company founder, handling both detailed and personal tasks with efficiency and discretion. This contract to permanent position is ideal for someone who thrives in a fast-paced environment and possesses strong organizational skills. This position is on-site Monday through Thursday, remote on Fridays. </p><p><br></p><p><strong><u>Responsibilities:</u></strong></p><p>• Manage and maintain the founder’s calendar, ensuring all appointments and meetings are scheduled accurately.</p><p>• Coordinate and organize meetings, including preparing agendas and ensuring all necessary materials are available.</p><p>• Arrange and oversee complex travel plans, including transportation and accommodations.</p><p>• Handle expense reporting and reconcile financial transactions with high attention to detail.</p><p>• Assist with both personal and detailed errands, adapting to the founder’s diverse needs.</p><p>• Maintain a high level of confidentiality and discretion in all interactions.</p><p>• Communicate effectively with various stakeholders, accommodating different personality types.</p><p>• Provide administrative support such as drafting correspondence and managing email communications.</p><p>• Collaborate with other team members to ensure seamless operations.</p><p>• Address additional executive and personal tasks as required. </p>
• Proven experience as an Executive Assistant, preferably in the finance or investment industry.<br>• Strong proficiency in Microsoft Outlook and other office tools.<br>• Exceptional organizational and multitasking skills.<br>• Ability to coordinate meetings and manage schedules effectively.<br>• Experience in arranging travel plans and handling expense reports.<br>• High level of discretion and professionalism in managing sensitive information.<br>• Comfortable working in a fast-paced environment and adapting to changing priorities.<br>• Excellent communication skills and ability to interact with diverse personalities.
