Executive Assistant
We are looking for a skilled Executive Assistant to provide dedicated administrative support to senior leadership in a dynamic and fast-paced environment. This contract position is based in Commerce, California, and requires a detail-oriented individual capable of managing schedules, organizing meetings, and coordinating communication across multiple stakeholders. The ideal candidate will demonstrate discretion, exceptional organizational skills, and the ability to handle confidential information with the utmost care.<br><br>Responsibilities:<br>• Manage complex executive calendars, including scheduling appointments, meetings, and travel arrangements.<br>• Prepare, proofread, and edit reports, presentations, and correspondence to ensure accuracy and a high standard of work.<br>• Serve as a primary point of contact between executives and internal or external stakeholders, facilitating effective communication.<br>• Organize and maintain electronic and physical filing systems to ensure easy access to important documents.<br>• Coordinate meeting logistics, including preparing agendas, compiling materials, and recording minutes.<br>• Handle sensitive information with confidentiality and integrity.<br>• Support executives with special projects, conducting research and providing detailed summaries as needed.<br>• Utilize tools such as ADP, Concur, and CRM systems to streamline administrative tasks and enhance efficiency.<br>• Assist in planning and executing conference calls and virtual meetings using platforms like Cisco Webex.<br>• Ensure timely communication and follow-up on behalf of executives to maintain smooth operations.
• Minimum of 3 years of experience as an Executive Assistant or in a similar administrative role.<br>• Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant tools like ADP, Concur, and CRM systems.<br>• Excellent communication skills, both written and verbal, with a detail-oriented approach.<br>• Demonstrated ability to manage time effectively and prioritize tasks in a fast-paced environment.<br>• Experience with calendar management and scheduling for senior-level staff.<br>• Familiarity with virtual meeting platforms such as Cisco Webex.<br>• Ability to work independently, handle multiple projects, and adapt to changing priorities.<br>• Bachelor’s degree is preferred but not required.
