Legal Assistant
<p>Our client, a prominent law firm, is seeking a<strong> Litigation Legal Assistant</strong> to join their team. This position is suited for someone who is confident navigating civil litigation procedures, coordinating multiple priorities, and maintaining accuracy under tight deadlines. The role offers the chance to contribute to a collaborative legal environment while providing essential support across active case matters.</p><p><br></p><p><strong>Role: </strong>Litigation Legal Assistant </p><p><strong>Location: </strong>Boston, MA</p><p><strong>Schedule: </strong>Hybrid (4 days in, 1 day remote)</p><p><strong>Salary: </strong>$80,000 - $95,000 (depending on experience) + great benefits </p><p><br></p><p><strong>Responsibilities:</strong></p><ul><li>Monitor and manage court deadlines, scheduling orders, statutes of limitations, and internal deadlines to ensure timely filings and compliance.</li><li>Regularly review court dockets, track case activity, and maintain accurate, complete, and up-to-date litigation files.</li><li>Manage attorney calendars, including hearings, depositions, mediations, client meetings, trial dates, and other case-related commitments.</li><li>Coordinate meetings and proactively manage litigation scheduling priorities.</li><li>Assist attorneys with travel arrangements, expense reports, and other administrative needs.</li><li>Prepare, format, proofread, and electronically file pleadings, motions, briefs, discovery materials, correspondence, and other legal documents in state and federal courts.</li><li>Maintain organized electronic and physical case files, ensuring documents are properly filed, accurately maintained, and readily accessible.</li><li>Prepare engagement letters, open new client and matter files, and assist with new matter intake.</li><li>Draft routine legal correspondence and provide support with document production, discovery, and other litigation-related activities.</li><li>Maintain case documents and matter information within the firm’s document management system, including NetDocuments.</li><li>Ensure all filings and legal documents comply with applicable court rules, procedures, formatting requirements, and deadlines.</li><li>Coordinate and assist with preparation for depositions, hearings, mediations, and trials.</li><li>Prepare trial notebooks, witness lists, exhibit binders, and other materials required for hearings, depositions, and trial.</li><li>Coordinate with court reporters, expert witnesses, vendors, and other external parties on case-related matters.</li><li>Provide administrative and logistical support throughout the litigation process to ensure attorneys are fully prepared for proceedings.</li><li>Communicate professionally and effectively with clients, courts, opposing counsel, court reporters, expert witnesses, vendors, and other parties regarding case-related matters.</li><li>Assist with billing and invoicing, including addressing and responding to client billing inquiries.</li><li>Provide cross-coverage and administrative support to other team members as needed.</li><li>Provide occasional front-office coverage and general administrative assistance as needed.</li><li>Maintain strict confidentiality, exercise sound judgment, and demonstrate exceptional attention to detail when handling sensitive information and legal matters.</li></ul>
<p><strong>Requirements:</strong></p><ul><li>5+ years of legal assistant experience in a law firm environment, preferably supporting civil or commercial litigation matters.</li><li>Strong understanding of civil litigation procedures, court rules, legal terminology, and filing requirements.</li><li>Proven ability to manage litigation calendars, court deadlines, and multiple active matters while balancing competing priorities.</li><li>Hands-on experience with electronic filing in both state and federal courts.</li><li>Working knowledge of applicable local litigation rules and procedures, including Massachusetts Rule 9A.</li><li>Excellent written and verbal communication skills.</li><li>Exceptional proofreading skills and meticulous attention to detail.</li><li>Advanced proficiency in Microsoft Office, including Word, Outlook, and Excel.</li><li>Experience with document management systems, such as NetDocuments, as well as PDF software.</li><li>Excellent organizational and time-management skills, with the ability to prioritize effectively and consistently meet deadlines.</li><li>Demonstrated ability to maintain confidentiality, exercise sound judgment, and handle sensitive and confidential information with discretion.</li></ul>
