Executive Assistant
<p>A highly respected financial services and investment banking organization is seeking a polished, detail-oriented Administrative Coordinator to support its Financial Services team in Baltimore. Financial services or investment banking experience is highly preferred, though candidates with strong experience supporting executive-level teams in professional services environments will also be considered.</p><p>Key Responsibilities</p><ul><li>Provide administrative and operational support to the Capital Markets team</li><li>Manage and track filings, documentation, reporting, and deadlines with a high degree of accuracy</li><li>Maintain detailed records, trackers, and spreadsheets utilizing advanced Excel skills</li><li>Coordinate travel arrangements, expense reporting, and calendar support</li><li>Serve as a professional point of contact for internal stakeholders, clients, and incoming calls</li><li>Assist with vendor coordination, vendor relationships, and related administrative processes</li><li>Support contract administration, documentation review, and negotiation coordination</li><li>Help ensure smooth day-to-day operations within a fast-paced, deadline-driven environment</li><li>Prioritize multiple tasks while maintaining discretion and professionalism</li></ul><p><br></p>
<p>Qualifications</p><ul><li>3+ years of administrative support experience within a corporate or professional services environment</li><li>Financial services, banking, capital markets, or investment banking experience strongly preferred</li><li>Advanced Microsoft Excel skills required</li><li>Experience supporting executive teams or high-level business units preferred</li><li>Strong organizational, multitasking, and follow-through abilities</li><li>Excellent verbal and written communication skills</li><li>Professional presentation and client-facing demeanor</li><li>Experience with contracts, vendor management, negotiations, or operational coordination highly valued</li><li>Ability to work independently while becoming embedded within a collaborative team environment</li></ul><p>What They’re Looking For</p><p>The ideal candidate is polished, proactive, highly organized, and business-minded — someone who can seamlessly support a sophisticated Capital Markets team while handling sensitive information with professionalism and urgency.
