Executive Assistant
We are looking for a highly organized and proactive Executive Assistant to provide comprehensive support to leadership in Arlington, Virginia. In this Contract to permanent role, you will be responsible for managing critical schedules, coordinating travel logistics, and ensuring smooth communication across teams and stakeholders. This position offers an opportunity to work in a dynamic environment, contributing to the operational success of the organization.<br><br>Responsibilities:<br>• Manage and oversee complex executive calendars, ensuring meetings are scheduled efficiently and conflicts are resolved promptly.<br>• Coordinate internal and external meetings, aligning schedules with organizational priorities.<br>• Organize and handle travel arrangements, including domestic and international itineraries, meeting setups, and on-site support.<br>• Act as a central point of communication, filtering and prioritizing information to maintain clarity across teams.<br>• Prepare materials and logistics for Board and investor communications, including presentations and follow-ups.<br>• Anticipate leadership needs and streamline decision-making through effective preparation and follow-through.<br>• Address operational challenges and coordinate urgent tasks to ensure seamless workflows.<br>• Step into additional responsibilities as needed to support organizational momentum and remove obstacles.<br>• Maintain discretion and professionalism when handling sensitive information.
• Proven experience in executive-level calendar management and scheduling.<br>• Strong ability to arrange and coordinate detailed travel plans, both domestically and internationally.<br>• Excellent organizational skills with a track record of handling multiple priorities effectively.<br>• Exceptional communication and interpersonal skills to ensure clear and detail-oriented information flow.<br>• Proficiency in preparing presentations and coordinating materials for high-level meetings.<br>• Demonstrated problem-solving abilities and a proactive approach to anticipating challenges.<br>• Ability to work independently and adapt to dynamic, fast-paced environments.<br>• Commitment to maintaining confidentiality and discretion in all tasks.
