Job Description ? Accounting Assistant/Office Manager

Responsible for all A/P functions:
o Matching invoices to PO?s and receiving document, investigate any discrepancies. Input into ERP system (Macola).
o Reconcile vendor statements, resolve vendor issues.
o Process weekly check runs.
o Month-end closing.
o Prepare monthly sales/use tax report.
o Prepare monthly tool expense report.
o Maintain vendor files, including W-9 forms

Responsible for all A/R functions:
o Daily invoicing, mailing, emailing, entering data in Ariba EDI
o Input daily sales into excel spreadsheet
o Weekly A/R status report
o Dunning
o Close completed factory orders, prepare cost summary.
o New customer credit inquiries.

? Order and maintain all office supplies
? Answer incoming phone calls.
? Process mail and distribute, prepare and make bank deposit.
? Generate product labels and bar code labels as required.
? Input daily production report.
? Distribute the open factory order report weekly.
? Responsible for prior year?s record storage.
? Maintain files for A/R, A/P, open orders and quotes.

? Working knowledge of Microsoft Office and ERP system.
? Must be a team player.
? Must have a high degree of accuracy with attention to detail.
? Able to work independently with little supervision.
? Must be punctual, reliable and organized.
