Description
Our client is one of the leading real estate investment and advisory firms. We are partnering with them to help them find an exceptional Administrative Assistant to support a Sr. Managing Director and office located in Palo Alto. The position consists of two primary components: office and personal support. The ideal candidate will thrive in a high-pressure, fast-paced and =+ years of experience environment.

Responsibilities:
? Provide administrative support to senior level executives helping them to manage day-to-day operations.
? Schedule appointments; maintain calendars and coordinate/book meetings on and offsite.
? Make travel arrangements for domestic and international travel.
? Serve as contact to people inside and outside of company.
? Possible miscellaneous duties including assisting with property management, bank deposits, dry cleaning, ordering/picking up gifts, etc.
? Maintain and manage the team?s client database, including data entry/manipulation, reporting and query management.
? Complete all required paperwork for new listing activation, closings and related booking statements.
? Complete expense reports for travel/proposal/client entertainment reimbursement from firm.
? Manage corporate bank accounts.
? Maintain and manage relationships with various vendors and service providers.
? Coordinate and schedule client entertainment events.
? Coordinate the mailing of team marketing materials such as brochures, postcards, client holiday cards and gifts.
? Prepare, print and send various communications including executive letters, update letters, confidentiality agreements, offer summaries, etc.

? Excellent communication skills, both oral and written
? Excellent organizational skills, particularly project and time management
? Ability to handle high-level, confidential information with discretion
? Ability to be flexible in a fast-paced, ever-changing environment
? Ability to work independently and under minimal supervision
? Ability to work and thrive in a team environment where high expectations are the norm
? Solid analytical, problem solving, and training skills

? Experience in administrative positions in a corporate setting a positive but not a requirement
