Description
Administrative Assistant needed for growing non-profit organization in Baltimore City.
Overall responsibilities include, but are not limited to the following:
1. Monitors the current status of the work for the Directors and Human Resources.
2. Anticipates Directors and Human Resources' needs by gathering records, reports, correspondence or other specific information.
3. Arranges appointments, meetings and conferences for Directors and Human Resources.
4. Handles variety of matters involving contact with various staff, board members, committees, and government agencies, public.
5. Provides administrative support including word processing and typing, composing and proof-reading correspondence, indexing and filing documents.
6. Develops and implements office procedures related to coordination of departmental communication, records, and systems.
7. Order, distribute and ensures adequacy of office supplies and equipment.
8. Maintain supply closet and order inventory as needed.
9. Prepares various documents and handles confidential matters in accordance with policy and procedures.
10. Attends and supports various community events on behalf of the organization.
11. Participates in professional development activities to keep current with health care trends and practices.
12. Receives, reviews and process Incident Reports along with HR guidance.
13. Maintains strictest confidentiality.
Requirements
- Working understanding of PowerPoint and Access
- Proven ability to use the internet for research
- At least 1 year of Administrative Assistant experience preferred
- Excellent communication and organizational skills
- Demonstrated knowledge of Microsoft Excel
- Proficiency in meeting coordination and planning
- Correspondence and drafting experience preferred
- Adeptness in Microsoft Word
- Comprehensive knowledge of switchboard phones from 10 -30 lines
- Experience with editing
- Expertise in calendar managements and scheduling appointments
